The must-have tools and software for running your staffing business

How do I know?

Recruiting tech has evolved over the last 5 years - Which is AWESOME!
Technology can really help “the little guy” when competing with some of the larger staffing organizations in the world (which you will).
However, in our case, when starting a business, no matter how many bells and whistles you see, it’s important to keep costs low.
So although it sounds great, and you might want it, do you really need it?
❌ The "Nice-to-Have" but Can-Wait List
Expensive Website:
Hold off on this. Your online presence is important, but you don’t need to break the bank right out of the gate.
Start simple and functional. Your website will inevitably change over the next few years. It’s just important for people to be able to find you on the internet and make sure you are who you say you are 🙂
Over-the-Top ATS:
Yes, I do recommend getting a small (more affordable) ATS, but no, it doesn't need to be the software equivalent of a Swiss Army knife. Find one that’s intuitive and does the job without requiring a Ph.D. to operate.
We use RecruiterFlow and I think it’s great. It allows for a ton of 3rd party apps integrations, it’s a simple interface, and does the job we need it to do.
Plus, the truth is, nobody loves their ATS 😀
So it’s important to try a couple out and see which one you like (don’t pay over $100/month).

✅ The Must-Have Tools
🤖 AI Tools:
AI tools have already started becoming game-changers in the recruitment space.
What would take a person hours, can now get done in minutes.

Here’s a few of my favorite AI tools to get you started:
SeekOut:
SeekOut is our go-to sourcing tool, especially in fields like tech and engineering.
It’s not just about having a vast database, but having the right filters to cut through the noise that has really been an asset.
Plus, they’ve had excellent customer service which is always nice 😅
MetaView:
MetaView offers a unique solution by analyzing screening calls between candidates. With metaview, the recruiter doesn’t have to take call notes and can focus 100% on talking to the candidate.
The software transcribes the phone calls, highlighting important details and organizing them in a digestible format so you can simply copy / paste, and send to your client.
☎️ Contact Database:
Having a solid contact database is important when data is king.
You’re going to need a reliable database when find a qualified candidate or prospect and you just need a little more information to get in touch.
👉 Apollo:
Apollo is one of the better databases on the market, especially for the price point. The software doesn’t just store contact information; it enriches it with actionable insights, helping you craft personalized messages.
It also has a cool job post filter so you can see who’s hiring.
👉 Contact Out:
Contact Out is an affordable, less robust option compared to Apollo. I’m a big believer in data, especially when recruiting, so having multiple data sources in my opinion isn’t a bad thing.

🤔 So, Is LinkedIn Recruiter Worth It?
Short answer: It depends on your needs. LinkedIn Recruiter can be a powerful tool for sourcing candidates, but it’s not the only fish in the sea.
Consider your budget, the scale of your operations, and whether LinkedIn's network aligns with your niche.
LinkedIn Recruiter at the time writing this is ~$8,000+.
In my opinion, LinkedIn Recruiter is not a requirement like it once was.
To wrap things up…
Outside of getting an email setup, having some kind of website and a (free) LinkedIn profile, here are the tools I’d recommend grabbing when starting a recruiting business:
Smaller ATS, without all the bells and whistles.
AI Sourcing Tool, find candidates faster and cheaper.
Contact Database, get the contact information you need to close.
P.S. Accounting Software:
Once you start closing deals and the cash flow starts getting real, you’ll need to keep record of your business transactions.
We use QuickBooks. It connects directly to your bank account and credit cards, streamlining your financial reporting without you needing to be a math wiz.
